Privacy Policy

Last updated: October 18, 2026

This Privacy Policy explains how Appointment Air LLC, a Wyoming-registered limited liability company operating under the name “Appointment Air” (“we,” “us,” or “our”), handles information in connection with inbound appointment setting, rescheduling, and related communications.

Appointment Air is an AI-powered appointment assistance service for appointment-based businesses and service providers. Its conversational AI assistant responds to customer-initiated requests with a natural, human-like voice and empathetic guidance to help set or reschedule appointments. Optional SMS follow-ups remain subject to applicable opt-in and consent requirements.

SMS privacy commitment: We do not sell, rent, or share mobile phone numbers or SMS consent information with third parties or affiliates for marketing or promotional purposes.

1. Information we may process

Appointment Air may process limited information needed to handle customer-initiated appointment requests and follow-ups, including:

  • Customer or patient name, when provided;
  • Business or service provider name;
  • Mobile phone number and email address;
  • Appointment date and time;
  • SMS consent status and opt-in information;
  • Email confirmation status, when used;
  • Inbound appointment request, booking, rescheduling, and response status;
  • Appointment follow-up delivery information, such as timestamps and reply status;
  • Appointment-related notes needed by the business using Appointment Air.

Businesses using Appointment Air should avoid entering sensitive information that is not needed for inbound appointment booking or rescheduling.

2. How information is used

We use information to operate Appointment Air and provide appointment-related communication features, including:

  • Handling optional SMS consent choices, when properly collected;
  • Supporting appointment confirmation by email when used;
  • Responding to customer-initiated appointment requests through conversational AI and voice assistance;
  • Helping set new appointments and confirm requested booking details;
  • Handling requests to change existing appointments;
  • Providing available-time options in response to customer booking or rescheduling requests;
  • Helping businesses review appointment communication status and follow-up needs;
  • Maintaining logs needed for service reliability, troubleshooting, and compliance.

3. SMS consent and opt-out

For optional SMS follow-ups related to a customer-initiated appointment-setting or rescheduling request, a business may direct a customer to the Appointment Air SMS opt-in page. The page requests a business name, customer contact details, appointment information, an email address, and optional SMS consent. The current page prepares a record locally in the browser; it does not transmit that record to Appointment Air or the business.

SMS consent for appointment follow-ups is optional and should be affirmative when required. Customers may still contact the business directly without using this page. The locally prepared opt-in record does not activate SMS follow-ups or constitute receipt of consent by the business. Message frequency varies based on appointment activity. Message and data rates may apply. Recipients can reply STOP to opt out of SMS messages or HELP for assistance.

4. Sharing of information

We do not sell personal information. We do not sell, rent, or share mobile phone numbers or SMS consent information with third parties or affiliates for marketing or promotional purposes.

We may share or process information only as needed to operate the service, such as with communication, hosting, database, voice assistance, SMS, email, or infrastructure providers that help deliver Appointment Air. These providers are used for operational purposes, not for selling or marketing mobile consent information.

5. Data retention

Appointment-related records may be kept for as long as needed to operate the service, support the business using Appointment Air, maintain logs, comply with legal obligations, resolve disputes, or improve service reliability.

6. Security

We use reasonable administrative and technical measures to protect information handled by Appointment Air. No online service can guarantee absolute security, but we aim to limit access to information based on operational need.

7. Business responsibility

Appointment Air is a software service. Businesses and service providers using Appointment Air are responsible for managing customer-initiated appointment requests, obtaining any necessary SMS permissions, entering accurate booking information, and responding to questions requiring human follow-up.

Businesses should not use Appointment Air to send SMS messages to customers who have not opted in or otherwise provided valid SMS consent.

8. Children

Appointment Air is intended for use by businesses and is not directed to children. Businesses should not use Appointment Air to knowingly collect information from children without appropriate authorization and consent.
